CCP policies and authorizations

These policies combine the existing CCP parent packet with program-wide standards for volleyball, cheerleading, basketball, and track & field. Families acknowledge them during registration.

2026–27 program policy · Last reviewed October 12, 2026

Fees, payment plans, refunds, and cancellations

  • A roster place is finalized after the required payment and documents are received.
  • Participation, league, tournament, camp, facility, insurance, and supply costs become nonrefundable when CCP commits or pays them. After a sport's official season begins, participation fees are nonrefundable. For 2026 volleyball, that date is September 14, 2026.
  • If an outside league, tournament, camp, or event cancels, CCP can refund or credit only the amount actually returned to CCP after nonrecoverable expenses.
  • Uniforms, personalized items, and ordered merchandise are nonrefundable after the order is placed. Families must verify sizes, names, initials, and numbers before submitting.
  • When a written payment plan is offered, the athlete may practice while the plan is current but may not play or compete with a past-due balance. Changes must be approved in writing.
  • Cash payments require a CCP receipt. Online payments should use the athlete and parent names from registration so records can be matched.

Athlete and family conduct

  • Athletes show effort, respect, sportsmanship, coachability, and support for teammates; follow coach and facility directions; and represent CCP and Green Elite, Inc. positively.
  • Bullying, fighting, harassment, threats, discrimination, retaliation, profanity directed at others, property damage, or unsafe conduct is not accepted.
  • Families use respectful, solution-focused communication with coaches, officials, athletes, and other families. Concerns should be addressed privately—not during a game, practice, or in a public group thread.
  • CCP may use warnings, a family conference, a behavior plan, temporary suspension, or removal based on seriousness, safety, repetition, and the athlete's response to support.

Academic & Behavioral Support Policy

CCP standard: Athletes work toward an overall C average or higher with no failing grades. The purpose is support and accountability—not automatically removing a child from the team.

  • Good Standing: The athlete meets the standard and may practice and compete normally.
  • Academic Support Status: If the athlete falls below a C average or has a failing grade, the athlete may continue practicing. CCP and the family create a short improvement plan that may include tutoring, missing-work plans, teacher progress checks, mentoring, and family meetings.
  • Competition Accountability: While on support status, the athlete may sit for a coach-set portion of a game, set, meet, or tournament. The amount depends on the concern, effort, and progress—not simply the grade alone.
  • Academic Probation: If the athlete does not participate in tutoring, complete the improvement steps, or show progress by the review date, the athlete may sit for a larger portion or all of a competition. Practice and academic support may continue.
  • Return to Full Status: Improved grades, completed work, tutoring participation, teacher feedback, and consistent effort may restore full competition status. CCP will consider IEPs, 504 plans, learning needs, and individual circumstances.
  • School Behavior or Suspension: A school suspension does not automatically remove the athlete from CCP practice. Practice may continue when school and facility rules allow and there is no immediate safety concern. CCP may require a family conference, behavioral improvement plan, tutoring or reflection time, and sitting part or all of the next competition.
  • Repeated misconduct, refusal to follow the support plan, or a serious safety concern may lead to a longer competition suspension or removal after family review.

Attendance, practices, communication, and transportation

  • Athletes arrive on time, ready to participate, with water, athletic shoes, and required gear. Notify the coach as early as possible about an absence or delay.
  • Practices are closed to spectators. Parents/guardians arrange timely drop-off and pickup and do not enter the practice area unless invited by CCP staff or needed for an emergency.
  • Band is the official hub for schedules, changes, reminders, payments, and parent communication. Families are responsible for reviewing timely updates.
  • Parents/guardians are responsible for transportation unless CCP gives separate written transportation instructions. An athlete is released only according to the family's authorized pickup information.

Playing time, development, uniforms, and facilities

  • CCP focuses on skill development, teamwork, effort, attendance, preparation, safety, and competitive growth.
  • Playing time, event assignment, position, and lineup placement may vary and are not guaranteed equally. Coaches make decisions for development, safety, readiness, and team needs.
  • Athletes follow all coach and facility instructions, use only authorized areas and equipment, avoid unsafe conduct, and respect the building and property.
  • For CCP's inaugural 2026 season, temporary team-issued warm-up jerseys may be used through the official season and must be returned afterward unless the family purchases one.
  • Team-issued gear must be returned by the stated deadline in reasonable condition. Families are responsible for replacement costs for unreturned or intentionally damaged team property.

Health, concussion, and sudden cardiac arrest

  • Families disclose allergies, medical needs, injuries, medications, and accommodations needed for safe participation. Do not send an athlete who is ill or cannot participate safely.
  • An athlete showing signs, symptoms, or behavior consistent with concussion or head injury is removed immediately, may not return that day, and must receive appropriate assessment and written medical clearance before returning.
  • Before each season, CCP will provide required sudden cardiac arrest information. Athlete and parent/guardian annual acknowledgments must be completed before participation.
  • An athlete with qualifying family history of sudden cardiac arrest, or who has fainted before or after activity, may not participate until evaluated and cleared as required. Fainting during activity requires immediate removal and written clearance before return.

Assumption of risk, release, and emergency care

Youth athletics and presence in athletic buildings and activity areas involve risks including physical exertion, running, jumping, contact, balls, nets, equipment, hard or uneven surfaces, stairs, entrances, exits, parking areas, slips, falls, collisions, equipment failure, medical events, and acts of other participants. These risks may result in property damage, illness, bodily injury, disability, or death.

By registering, the parent/legal guardian knowingly permits the athlete to participate and accepts inherent and ordinary risks. To the fullest extent permitted by Ohio law, the parent/legal guardian releases and agrees not to bring claims against Columbus City Panthers, Green Elite, Inc., host-facility owners and operators, and their officers, directors, coaches, employees, volunteers, and agents for injury, loss, or damage arising from ordinary negligence associated with CCP activities or presence at an activity location. This does not apply to gross negligence, reckless or intentional misconduct, or rights that cannot legally be waived.

If the parent/guardian cannot be reached, CCP or Green Elite, Inc. staff may contact emergency services and obtain reasonably necessary care. The family is responsible for resulting medical expenses. To the extent permitted by law, CCP and Green Elite, Inc. are not responsible for lost, stolen, or damaged personal belongings.

Photo and video release

Media permission is optional. A family selecting “Yes” permits the athlete to appear in team photos, video, social media, the CCP or Green Elite website, and promotional materials. CCP may edit and use approved media without additional payment.

Selecting “No” does not affect eligibility, roster decisions, playing time, or access to the program. Families may send a written request to change future use; material already published or printed may not be removable from every channel.

Registration information and privacy

  • CCP collects athlete, family, emergency, health-support, payment-status, and acknowledgment information for registration, safety, team administration, communication, and required records.
  • Information is shared only with authorized CCP/Green Elite personnel, service providers, facilities, leagues, medical responders, or legal authorities when needed for those purposes or required by law.
  • CCP does not sell registration information. Families should promptly update contact, emergency, health, or pickup information.
